Refund and Cancellation Policy


How refunds and cancellations work for courses, clinics, and organizational cohorts, including the statutory rights of consumers in the United Kingdom and European Union.

1. Definitions

1.1 "Course" means any self-paced program offered on the Portal, including Coaching for Personal & Professional Growth, the Executive Extension, AI Operator, and AI Operator — Strategic Track.

1.2 "Clinic" means the Personal Capability Alignment Clinic, the Professional Capability Alignment Clinic, or the Organizational Impact Alignment Clinic.

1.3 "Matrix" means the assessment workbook a participant completes and submits within a Clinic.

1.4 "Report" means the confidential individual report, and any associated 90-day Movement Report, generated from a submitted Matrix.

1.5 "Cohort" means a group of Clinic seats purchased together by an organization, subject to a five-seat minimum.

1.6 "Seat" means a single participant place within a Cohort. A Seat is "Claimed" when a participant has accepted its invitation and been enrolled.

1.7 "Business Day" means Monday to Friday, excluding United States federal holidays.

2. Self-paced Courses

2.1 A purchaser may request a full refund of a Course within fourteen (14) calendar days of the date of purchase, provided that recorded completion of that Course does not exceed twenty percent (20%) at the time the request is received.

2.2 Completion is determined by the activity completion data recorded by the Portal. That record is determinative.

2.3 Requests falling outside clause 2.1 are considered at CIWLEARNING's discretion and are not granted as of right.

2.4 Material offered without charge carries no fee and is therefore outside the scope of this Policy.

3. Clinics

3.1 A purchaser may request a full refund of a Clinic at any time before submission of the Matrix.

3.2 Upon submission of the Matrix, the fee ceases to be refundable. Submission initiates generation of the Report, which is produced from the purchaser's own responses and is specific to that purchaser. The Report is treated as delivered upon generation, whether or not it has been accessed.

3.3 The 90-day Movement Report forms part of the same purchase, is not separately priced, and does not extend the period described in clause 3.1.

3.4 Private debriefs are scheduled services. A debrief may be rescheduled without charge on not less than forty-eight (48) hours' notice. A debrief not attended, and not rescheduled within that notice period, is treated as delivered. A debrief that has not been scheduled remains refundable in full.

4. Organizational Cohorts

4.1 A purchasing organization may cancel a Cohort and receive a refund at any time before the Cohort start date, less the value of any Seat that has been Claimed.

4.2 A Claimed Seat has caused an invitation to be issued and an enrollment to be created, and is treated as used.

4.3 On and after the Cohort start date, Seats are not refundable.

4.4 Seats that remain unclaimed continue to be usable after the Cohort start date. A participant may claim such a Seat late, and the purchasing organization may reassign an unclaimed Seat to a different participant at any time through its cohort management page.

4.5 A Cohort that has not started may be rescheduled without charge.

5. Statutory rights of consumers in the United Kingdom and European Union

5.1 This clause applies to a purchaser acting as a consumer in the United Kingdom or the European Union. Nothing in this Policy limits or excludes any right that cannot lawfully be limited or excluded, and the rights in this clause apply in addition to those elsewhere in this Policy.

5.2 Such a consumer ordinarily has a period of fourteen (14) days in which to withdraw from a distance contract without giving a reason.

5.3 Express request and acknowledgment. Course and Clinic content is digital content supplied otherwise than on a tangible medium. By purchasing and then accessing that content before the period in clause 5.2 has expired, the consumer:

(a) expressly requests that CIWLEARNING begin performance of the contract during the withdrawal period; and

(b) expressly acknowledges that, upon CIWLEARNING beginning that performance, the consumer loses the statutory right of withdrawal in respect of that content.

5.4 Clause 5.3 reflects Article 16(m) of Directive 2011/83/EU and Regulation 37 of the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013. Acceptance of this Policy, recorded by the Portal at the time of registration, constitutes the prior express consent and acknowledgment those provisions require.

5.5 A consumer who has not accessed the content may withdraw within the period in clause 5.2 and receive a full refund.

5.6 The remedies in clauses 2, 3 and 4 are offered in addition to, and not in substitution for, the rights described in this clause.

6. Requesting a refund

6.1 Requests must be made in writing to support@ciwlearning.com from the email address registered to the account, identifying the Course, Clinic or Cohort concerned.

6.2 CIWLEARNING will acknowledge each request and will state its decision, and the basis for it, in writing.

7. Payment of refunds

7.1 Refunds are issued to the original method of payment. Refunds cannot be issued to a different card, account, or person.

7.2 Approved refunds are ordinarily processed within five (5) to ten (10) Business Days. The time taken by the purchaser's bank or payment provider to post the credit is outside CIWLEARNING's control.

7.3 No processing, administrative, or restocking charge is deducted.

8. Effect of a refund on access

8.1 On issue of a refund, the enrollment to which it relates is terminated and access to the associated materials ends.

8.2 Any certificate issued in respect of that enrollment is withdrawn and ceases to be valid.

8.3 Material uploaded by the purchaser remains the purchaser's property and will be provided on request.

9. Payment disputes

9.1 Purchasers are asked to contact CIWLEARNING under clause 6.1 before initiating a dispute with a card issuer or payment provider.

9.2 CIWLEARNING maintains records of purchases, enrollments, policy acceptance, and recorded completion, and will produce them where a dispute requires it.

10. Amendment

10.1 CIWLEARNING may amend this Policy. The version applicable to a purchase is the version published on the date of that purchase.

10.2 Purchasers holding an active enrollment will be notified of material amendments.
